The importance of keeping documents after retrofit works for EPCs

As EPC surveyors, we know firsthand the importance of keeping documents after retrofit works. It's vital.

Why? Because keeping paperwork from retrofit works can be the difference between bringing your property from a D to a C rating and ultimately saving you thousands of pounds in the long run.

Let me explain.

When we assess a property, we need to be able to see all of the relevant documentation. This includes things like:

  • Invoices for any retrofit works that have been carried out

  • Certificates of compliance for any new equipment that has been installed

  • Reports from any inspections or tests that have been carried out

Without this documentation, we can't accurately assess your property's energy efficiency, which could mean your EPC rating is lower than expected.

A lower EPC rating could have several negative consequences. For example, it could make it more difficult to sell your property, it could mean that you have to pay higher energy bills, and soon it could even mean you aren't able to rent out your property.

For example; if you have had internal wall insulation, cavity wall insulation, loft or floor insulation installed, we have to provide proof of the work done to be able to count it towards your EPC score. With those methods of insulation being inaccessible, we can't just take your word for it that it's been done. We need hard copies evidencing the installation so that we can factor it into the EPC.

So, what can you do to make sure that you keep all of the relevant documentation?

Here are a few tips:

  • Make a digital copy of all invoices and certificates. This way, you'll have a backup in case the originals are lost or damaged.

  • Store your documentation in a safe place. This could be a filing cabinet, a safe deposit box, or even just a folder in your home office. Keep the digital copy your device, be it your phone, computer or external storage device.

  • Label your documentation clearly. This will make it easy to find what you need when you need it.

  • Review your documentation regularly. This will help you to make sure that it's up-to-date and that you have everything you need when it comes to your EPCs.

Keeping your documentation is an easy way to save money and hassle in the long run. So, don't forget to do it! Save your documents, save money.
